This policy explains how Dafinitiq ("we", "us") collects, uses and protects personal data when you visit our website or use Hilda AI.
1. Who we are

2. Data we collect
We collect the following categories of personal data:
- Contact details you give us: name, work email, company, phone number and anything you write in our demo request form.
- Call data: audio recordings, transcripts, caller phone numbers and call metadata generated when Hilda AI answers calls on behalf of a customer.
- Account and billing data: the details needed to operate your subscription and take payment.
- Usage data: pages visited, approximate location derived from IP address, browser and device information.
3. How we use your data
- To provide the service: answering, transcribing, routing and summarising calls for our customers.
- To respond to demo requests, sales enquiries and support questions.
- To bill customers and keep accounting records.
- To monitor, secure, debug and improve the service.
- To meet legal, regulatory and tax obligations.
4. Call recording and consent
Where Hilda AI records or transcribes calls, our customer is the controller of that data and is responsible for providing any notice or obtaining any consent required in their jurisdiction. Several jurisdictions require all-party consent to record a call. We provide configurable call-start announcements to help customers meet that obligation, but the obligation remains theirs.
5. AI model training
We do not use customer call content, transcripts or personal data to train publicly available AI models.
6. Sharing your data
We share personal data only with service providers who help us run the service: hosting, telephony, speech processing, payment and analytics providers, each bound by contract to protect it. We also disclose data where we are legally required to. We do not sell personal data.
7. Retention
We keep personal data only as long as needed for the purposes above or as required by law. Customers can configure how long call recordings and transcripts are retained, and may request deletion at any time.
8. Your rights
Depending on where you live, you may have the right to access, correct, delete, restrict or port your personal data, to object to certain processing, and to withdraw consent. To exercise any of these, email privacy@dafinitiq.com. You also have the right to complain to your local data protection authority.
9. International transfers
We may process personal data outside your country. Where we do, we rely on appropriate safeguards such as standard contractual clauses.
10. Security
We use technical and organisational measures appropriate to the risk, including encryption of data in transit and at rest and access controls limiting who can view call data.

We will post any changes on this page and update the date above. Where changes are material we will make reasonable efforts to notify you directly.
